Board Meeting Minutes

June 10, 2003

Previous BOD Meeting Minutes

Present:   Don McGilvery, Rod Carr, Linc Avery, Glenn Hill, Steve Atwell, Joe Thrift, Ned Vadakin, Sally Sprafka.  Guests:  Bill and Diana Gowan

Meeting convened 7:00 p.m.

Minutes approved:  Accepted with amendment.  Under Membership Update, first sentence should end "...including the 14 who have not renewed in the last 6 months."

Membership:  Rod has sent e-mails to members who haven't renewed recently.  We have 6 new members, 6 non-renewals, one transfer in, and one transfer out.

Old Business 

Make-A-Wish:  We have received contributions to the Make-A-Wish Foundation.  Don moved and Ned seconded a motion to match with enough to make our club's contribution to the Foundation a total of $500.  Motion passed unanimously.  Don noted our wish to be mentioned in the publicity and the Panorama article about the event.  Ned will convey contributions and matching dollars to Steve Atwell who will send them to the Foundation.  Don will follow up regarding publicity, and the upcoming Panorama article.  The event itself went well despite less than ideal weather.  It was well structured, well managed, and all in all participants and guests enjoyed themselves.

Upcoming events:    

Balsams tour:   Steve and Linc are following up on planning details.  Linc noted that information regarding the tour to the Balsams on July 20 is on the web, along with an application form.  To date 5 registrations have been received.  It was suggested that following the ice cream social (see below), Linc send out a reminder/promotional e-mail.  All necessary information such as times, planned rendezvous, how to make reservations, and costs are on the DERPCA webpage.  We were reminded that there will be no regular mailing for this event.  Information about the event has been communicated on the web, in the newsletter, and via Rod's personal e-mails to non-renewers.   

Ice cream run:    Linc has posted a group e-mail reminder to members for whom he has addresses.  Some were returned by highly stringent spam filters.  He felt he had reached at least 80% of our members.  Joe will host the tour to the ice cream stand.  Rendezvous is at the Yarmouth Hannaford lot at 7:00 on June 20 to join the tour, or plan to be at the ice cream stand by 8:00 to join the group. 

Oxford Plains Autocross:  Probably in the fall.

Web Page review:     Linc has changed the format and appearance of the opening page with dedicated links to a new Welcome section that incorporates the new mailer (see below). The PCA website competition is currently underway and several changes have been made to the site in order to comply. Discussion of judging criteria.

Newsletter update:     Very nice issue this time.  Many photos.  Bill Gowan mentioned that he had one of almost every newsletter DERPCA has issued.  He would be glad to make them available if we wanted to extract quotes for a "10 years ago/20 years ago" column. 

Other: 

$5.00 per car entry fee:    Should continue unless there are objections. 

Welcome Aboard mailer:     Glenn distributed Original that will be copied and sent/given to all new members and Up 'N Maine transfers.  Two pages (1 page, 2 sides), color photos, brief blurbs about our activities.  Very attractive layout.  Any spare copies will go to Don and Glenn.  Some will be placed at the dealership. 

Communication from National:    The new waiver forms are available.  It is important that we always use the ones with the red print on them rather than black and white copies.  Agenda for 2004 Parade has been published. 

2005 Zone 1 Concours and Rally:   If possible it should be in July or August, since May can be wet in Maine.  We were reminded that this event is used by some as a tune-up for the Parade.  We need to know the dates of the 2005 Parade.  As event hosts we need to:  identify and secure concours location;  identify and set dates with host hotel; and provide a suggested rally route that the rally master can either use or modify.   Sequence of events will be Friday - registration, Saturday - rally, Sunday - concours.  Rally master will be Bob Michaelson.  It was suggested that we use the rally route from the 1986 Parade as a starter.  Steve Atwell will contact the 1986 Parade rally master about that.  Preferred concours site is Fort Williams/Portland Head Light Park.  Steve Atwell will contact Henry Hoeh  to determine exactly what dates we are talking about.  One of us can then contact park management to determine availability.  Alternative site would be the Portland Country Club.  We are going to suggest a date between late June and August.  One thing we know need to do is have a lobster bake.  People are still talking about the lobster bake at the '86 Parade, and want to know when we are going to have another one. 

Guest Presentation:  Bill and Diana Gowan joined the meeting to discuss the possibility of hosting another Parade, perhaps in 2006 or 2007.  They were key participants in the planning of the 1986 Parade, and noted some positive changes in Parade planning in the last 20 years.  There was extensive discussion of the pros and cons of a region such as DER PCA taking on responsibility for hosting another Parade.  It was agreed that we needed more information and input from regions who have hosted a Parade in the last 5 years, as well as from DER members who would be part of a potential planning group.  Don will follow up by identifying key people who have hosted a Parade in the last 5 years, so members of the board can contact them for more information.
