Previous BOD Meeting Minutes

Present:     Rod Carr, Ned Vadakin, Don McGilvery, Russ Radcliffe, Brian Poulin, Sally Sprafka

 Meeting convened 7:00 p.m.

 Minutes approved as circulated.

Review of recent events:  There have been no events to review since our last meeting. 

Membership update: Rod didn’t have the most recent numbers with him.  We currently have about 140 members.  We have had one “defection” to North Country Region in the person of Mark Ettinger. Current membership list will be used for banquet invitations. 

Upcoming event review:  None specifically other than banquet.  See below.  Suggestion that we consider two driving events this year.  One at Oxford Plains with Cumberland Club if it can be worked out, and another….either autocross or rally.  Need to look into options for both of those.    

Review of web page: It looks great.  Linc was not able to join us this evening.  Sick child.  Still need to get trackie schedule on web page.  Schedule still being developed and updated by Brian.  Once it stabilizes, we’ll be able to mount it on the website. 

Newsletter update: It needs to go out in the next few days.  Getch called during the meeting.  He is hard at work on the newsletter. 

Banquet planning: Planning for banquet is almost complete.  Room reservation has been made; menu and price have been established; flowers have been ordered.  “Loop” of good photos is in the works as is track video.  Last crucial item has been resolved - -Ellen Beck has agreed to be our speaker.  Don will ask Steve Atwell to introduce her.  We look forward to some great anecdotes.  Don circulated a design for the invitations.  Nothing fancy, looks very serviceable.  Deposit check transmitted to Brian.  Will need a head count 72 hours in advance.  Set deadline for RSVP on March 2.  For AV Russ has a screen, Linc slides and projector.  Linc will help Ellen with PowerPoint.  Russ and Rod are working on the video.  Rod and Brian will bring digital cameras to take pictures for Pano.   

DER Member of the Year: After considerable discussion of informal criteria for Member of the Year, and possible nominees, Don McGilvery was unanimously selected as DER’s Member of the Year for his numerous contributions to the spirit and effective functioning of the Club.  Congratulations Don!  Discussion continued regarding possible other awards.  For example Longest Service on the Board (Steve Atwell); Rookie of the Year (Brian); Webmaster of the Year (Linc);  and possible others.  It was decided to leave the decision on who, what, and how many up to Don as president. 

Presidents’ Meeting:  Will be held March 17 in Latham, New York.  Don and Brian will go.   

2001 Newsletter Contest: All materials regarding requirements for the contest are in Getch’s hands. 

Updates from National: Don circulated the 2001 version of the PCA Procedures Manual. 

New Member Letter: Ned had suggested in past meetings that we have a personal letter that we send to new members along with a copy of the most recent newsletter, to welcome them to our region as well as to PCA.  Ned had drafted some ideas, which were discussed, and editorial comments made.  Rod will send the greeting to all new members.
