Board Meeting Minutes

November 11th, 2003

Previous BOD Meeting Minutes

Present:  Steve Atwell, Don McGilvery, Glenn Hill, Rod Carr, Sally Sprafka   Guests: Teri Omatick (Newsletter), Kyle Atwell, Gerry Giordano 

Meeting convened 7:00 p.m.

Minutes approved: Approved with correction of one typo.  "Round of gold" should read "round of golf".

 Membership: We currently have 179 active members with 19 still listed as non-renewals.  No new members this month.  There are 9 non-renewals whom Rod will e-mail with a reminder.

Old Business 

Slate of officers for 2004  The Board accepted the following slate:

Newsletter Co-editors:         Terri and Doug Omatick

2005  Zone 1 Concours and Rally:    Kyle reviewed with the group a sample RFP she had presented to several potential venues for this event, which details the basic requirements for lodging, meal service, and other accommodations for the event.

 She actually visited 5 different sites and got data from most regarding room rates, meal costs, and other information.

 Discussion ensued of what attendees will be looking for and how those would be prioritized (e.g. accommodations for family a high priority, or proximity to concours site a high priority).

 Kyle and Steve will be attending the Zone 1 Presidents meeting and at that time will present our proposal/options and get input on what priorities might be for potential attendees at this event.  They will also learn what costs are for the 2004 event which is in Saratoga Springs, New York. 

 Upcoming events:  Our next event is the banquet in March, 2004.  Glenn and Gerry volunteered to begin the planning process.  Last year the banquet was at the Sable Oaks Marriott.  Good location, good food, reasonably priced, good service.  If we want to go to another place, some possibilities are the Portland Country Club, Valhalla, and the Sheraton in Portland.  Brief discussion of possible speaker.  May want to tap someone from PCNA if available. 

Web Page review:  Reminder that we need photos.  Sally volunteered to get a digital camera and take pictures at events she attends.

Newsletter update:  Glenn reported that the next issue of the newsletter is still in the works.  Rod will get the new member list to Glenn.  Kyle will get pictures from Jeff's Barbeque to Glenn.  Thanks to Teri and Doug Omatick for taking over as newsletter co-editors. 

Financial:  The treasury is currently quite healthy, to the extent that we may be able to help subsidize the spring banquet, to help keep costs down for attendees.

Other:   Don received an e-mail from new member Jeff Anderholm.  Jeff and his wife Teri have recently bought an inn in Bar Harbor, which they are renovating and expect to open in the spring of 2004.  They are interested in hosting a DER event. They would be able to offer special rates for PCA members, and perhaps help organize a ramble through Mount Desert Island, the Schoodic Peninsula, and the Blue Hill Peninsula.  It was suggested that if one of us is in the neighborhood, we should pay Jeff and Teri a call.
