Board Meeting Minutes

October 14th, 2003

Previous BOD Meeting Minutes

Present:  Don McGilvery, Steve Atwell, Glenn Hill, Rod Carr, Sally Sprafka, Linc Avery, and Joe Thrift.

Meeting convened 7:00 p.m.

Minutes approved: Date incorrect.  Corrected.  Accepted as amended.

 Membership: 1 new member, another Cayenne.  4 deletions for non-renewal. 

Old Business Oxford Plains autocross: (after rescheduling).  Rod and Joe helped Jeff Smith and Don.  Although it rained all day, there were no major incidents.  The timing and scoring equipment was not totally reliable so there were some problems getting results in a timely fashion.  Generally, people had a good time.  There were 25 paid entrants, so we ended up losing a little on the event.  There were very few Porsches in attendance.  Most participants were Cumberland Motor Club.  Discussion of priorities for co-sponsoring this event.  Possibility of focusing more on events that appeal to more of our members.  Interest in coordinating autocross events with CMC.  If autocross is going to be an important part of our activities we need to schedule autocross events more than once a year.  Decision to table the issue, and reconsider when we do next year's calendar. 

German Restaurant dinner:    It dropped of the Board's radar screen.  It was an honest error.  It won't happen again. 

 Upcoming events:  There are no new published events at this time.  It's not too soon to start thinking about the banquet.  It will be a definite November agenda item. 

Suggestion to sponsor a golf-related event, coordinated with a car-related event such as a tour in our Porsches to a great golf course, and a round of golf for the golfers.  Something to consider.  Several of our members play golf.

Web Page review:  Linc reminded us that he is short on photos of summer events to post on the webpage.  More of us need to remember to take a digital camera to events we attend, so we can send him photos. 

Newsletter update:   Glenn passed around the feedback he received from the PCA newsletter contest.  It was complimentary and constructive. 

Financial:   Current financial situation is OK

Other:   President's position:   Don had indicated earlier that he would not be available again next year to be our president.  Discussion ensued for how to handle the transition to a new nominee for president, and newly installed president.  Elections are in March.  Also a good time to consider make-up of Board of Directors.  Glenn will no longer be doing the newsletter.  There are other (new) members who have shown interest in board-related activities including newsletter. This transitional period would be a good time to approach them.  Don will take this occasion to develop a "Job Description" for the office of president of DERPCA , including activities and resources (especially time) required.  Glenn volunteered to be President Elect.  His election will become effective January 1, 2004.  His nomination and election by the Board will be confirmed at the March banquet.  Glenn will attend the President's meeting next month with Steve Atwell.  Glenn's name will be submitted to Pano at the end of the year for inclusion in their annual listing of region officers. 

2005  concours and rally:    Kyle Atwell prepared a packet for distribution to several possible venues, and has personally visited all of them (to whom she sent packets).  So far several responses have been received.  Following discussion of such issues as attractive pricing preferences available in May but not in the fall from several lodging places, it was decided to propose May 2005 as the target date for the event.  We still need to decide about the venue for the concours, and whether the hotel site and the concours site will be the same or different.  There continues to be strong interest in Fort Williams at the concours site.  Steve Atwell will call Fort Williams and inquire about availability  Linc will put a tentative date of May 2005 on the website. 

Zone 1 Fall President's meeting:  Will include a parallel meeting for chief driver ed instructors from each region.  Dates are November 21 - 23 in Latham NY.  Steve Atwell and Glenn Hill plan to attend. 

  

Next Meeting:      Next meeting November 11 at 7:00 in Steve Atwell's new office (Gannett Drive and Cummings Rd).
